  • Public: Displayed on your association’s public website and accessible to anyone. Ideal for rules, forms, and general announcements.
  • Restricted: Visible in the Members Portal and app. Perfect for meeting videos, meeting minutes, internal policies, newsletters, and educational videos. Accessible to residents and/or owners per their type.
  • Board of Directors: Accessible only through the Board Portal, providing a secure area for confidential board materials, contracts, and legal Materials.

When you upload a document or video, it’s automatically tagged by type and visibility level, so it appears exactly where it belongs—no manual sorting or uploading in multiple places.

Upload not only PDFs, but also Word documents, Excel files, and other files. you can also upload videos to the association youtube channel to be included in the video libraries.

Each file is stored on our secured servers, with fine-grained access rights ensuring only authorized users can view or download sensitive materials.

Documents and videos are seamlessly available on all portals (Admin, Board, and Members) and through the mobile apps, keeping your community informed wherever they are.

Total Association supports three visibility levels:

  • Public: Visible to anyone through your public website.
  • Restricted: Accessible only to registered owners and residents via the Members Portal or app.
  • Board of Directors: Visible only to board members through their secure portal.

From your admin panel, go to Documents and Videos → Add New. Upload your file, choose a title and category, then select the visibility level (Public, Restricted, or Board). The file will automatically appear in the correct portal section.

Yes. Total Association supports large files and video formats commonly used for community updates or recorded meetings. You can also embed videos hosted on platforms like YouTube or Vimeo if preferred.

Yes. Total Association’s secure storage and access controls comply with digital transparency laws, including Florida Statute 718 for condominiums and other state requirements for digital accessibility.

Yes. When uploading a file, administrators or board members can define visibility settings and restrict access to certain user types, ensuring sensitive materials are only seen by authorized parties.

Absolutely. Uploading a new version automatically replaces the old one while keeping the same link. Older versions are safely archived for compliance and recordkeeping purposes.
